Privacy Policy
Last updated: · AuxoFlow — Montréal, Québec, Canada
AuxoFlow (“AuxoFlow,” “we,” “us,” or “our”) is a marketing agency based in Montréal, Québec, Canada. We operate auxoflow.io to explain what we do and to book strategy calls with med spa and aesthetic clinic owners. This Privacy Policy explains what personal information we collect, how we use and share it, how long we keep it, and the choices you have. By using this site or submitting our form, you agree to this policy.
Information we collect
You provide most of this directly when you fill out our booking form:
- Contact details — first and last name, email address, and phone number.
- Business details — clinic name, city, monthly revenue range, and whether you currently run ads.
- Your communication preferences — your separate consents for non-marketing and marketing SMS, and a record of each consent (the wording shown, the date and time, the page, and your IP address).
If you go on to pick a time, our scheduling provider also collects the details you enter into the booking calendar, including the time zone and any notes you add.
We also collect some information automatically when you visit:
- Marketing attribution data such as UTM parameters and advertising click identifiers (for example Meta's fbclid and Google's gclid) present in the link you arrived on.
- Technical data such as your IP address, device, and browser information, collected by our hosting and security providers to keep the site available and to prevent abuse.
- Aggregate usage data such as pages viewed, approximate region, and referring source.
How we use your information
- To respond to your enquiry and to schedule and hold your strategy call.
- To send you text messages and email about your booking, where you have consented or where the message is about a call you asked for.
- To send you promotional SMS, only where you have given separate marketing consent.
- To provide, maintain, and improve our services and this website.
- To measure how our advertising and this site perform, in aggregate.
- To prevent spam, fraud, and abuse, and to keep the site secure.
- To comply with our legal obligations and to establish or defend legal claims.
Under Québec's Law 25 and PIPEDA we rely on your consent for marketing communications, and on the legitimate need to run our business for the rest — such as answering an enquiry you sent us and keeping the site secure.
SMS messaging and your mobile information
Our form offers two separate SMS opt-ins, each with its own unchecked box. You may accept either, both, or neither:
- Non-marketing messages — appointment reminders, service-related messages about your account, and responses to your enquiries.
- Marketing and promotional messages — special offers, discounts, new product updates, and similar.
Checking a box gives AuxoFlow your express written consent to text you at the number you provide, for that category only. We treat the two separately: if you opt in only to non-marketing messages, we will never send you a promotional text. Consent is optional — you do not have to agree to receive text messages in order to book a call or to use any part of this site. Leave both boxes unchecked and we will contact you by email instead.
Message frequency varies. Message and data rates may apply. Text HELP for assistance, or reply STOP at any time to opt out. The full program details are in our SMS Terms. You may withdraw either consent at any time by replying STOP or by contacting us.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We disclose your mobile number only to the subcontractors that deliver the messages you asked for (our CRM and messaging platform), and only for that purpose.
We keep the record of your opt-in — the wording you accepted, when, from which page, and from which IP address — for as long as we message you and for a reasonable period afterwards, so we can show proof of consent if a carrier or regulator asks.
International transfers
Some of our service providers store or process information outside Québec and Canada, including in the United States. Where that happens, we assess the transfer as Law 25 requires and rely on contractual protections intended to give your information a comparable level of protection.
Data retention
We keep your personal information only for as long as needed to provide our services, maintain our business relationship, and meet our legal obligations. When it is no longer needed, we delete or anonymize it. You can ask us to remove it sooner at any time.
Data security
We use reasonable technical and organizational safeguards to protect your information, including HTTPS across the whole site, access controls on our CRM, and bot protection on our form. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights and choices
Subject to applicable Canadian privacy law, including PIPEDA and Québec's Law 25 — and the GDPR or U.S. state privacy laws where they apply to you — you may:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your information, or to stop using it.
- Withdraw a consent you gave us, including your SMS consent, at any time.
- Ask us how we made a decision about you, where that decision was automated.
- Complain to your privacy regulator if you believe we have handled your information improperly.
To exercise any of these, email us at [email protected]. We will respond within a reasonable time. We may need to confirm your identity before acting on a request.
Children's privacy
This site is intended for business owners and is not directed to anyone under 18. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Your continued use of this site means you accept the updated policy. If a change materially affects how we use information you already gave us, we will tell you directly where we can.
